Main Mission
Under the hierarchical supervision of the General Secretary and the Administrative Manager of SCAI, the Administrative and Financial Assistant will coordinate and ensure the administrative and financial management of the PostGenAI@Paris project within SCAI, in close collaboration with the project manager.
Main Responsibilities
Budget Monitoring and Reporting
- Assist in setting up the project budget and tracking its execution
- Prepare monthly financial reports and anticipate spending trends
- Collect and verify supporting documents for financial operations
- Stay informed and up to date on financial regulations relevant to the activity
Procurement Management
- Prepare quotes and purchase orders
- Verify and follow up with suppliers
Travel Management
- Process mission requests and travel arrangements for project personnel
Event and Meeting Coordination
- Support the team in planning and organizing meetings, seminars, and events (invitations, materials, room bookings, minutes, reports, etc.)
Recruitment Support
- Prepare hiring documents in collaboration with the HR department
- Assist with the onboarding of new staff at SCAI
Communication and Coordination
- Liaise with administrative teams at SCAI, ISCD, laboratories, departments, and relevant university services
- Serve as a point of contact for internal and external stakeholders (partners, suppliers, university services)
- Disseminate relevant information and documentation
- Contribute to the creation and updating of communication materials
Cross-functional Missions at SCAI
- Coordinate shared resources (meeting rooms, logistics)
- Ensure the proper maintenance and use of shared spaces
- Welcome and assist visitors (students, researchers, partners, external guests) in administrative processes
- Help organize SCAI events
- Provide occasional support to colleagues or on other projects (e.g., SOUND.AI, Sorbonne.AI)
